SJCBA Cancellation and Refund Policies

Policy updated April 16, 2026

General Principles

The St. Joseph County Bar Association (SJCBA) is committed to transparency and fairness in all registration and payment matters. This policy applies to all association events, including in-person conferences, workshops, and virtual/online programs. We encourage all registrants to read this policy carefully before completing registration.

In-Person Events

Registrant-Initiated Cancellations

Cancellation requests must be submitted in writing to director@stjoebar.org. The following schedule applies:

  • 60+ days before the event: Full refund of registration fees

  • 16–59 days before the event: 70% refund of registration fees

  • Fewer than 15 days before the event: No refund issued

Registrants who do not attend an event and do not contact the association in writing to cancel their participation at least 15 days prior to the event start date are responsible in full for their fees.

Exceptions for Extenuating Circumstances

In the case of extenuating circumstances, such as accident or illness occurring less than 15 days before the event, a registrant may reach out to inquire about a refund (minus any processing fee); proof of extenuating circumstance will be required.

 What Is Not Covered

Refunds are not granted for failure to attend, late arrival or early departure, state travel restrictions, airline cancellations or delays, or weather-related cancellations. The SJCBA  is not responsible for airfare, hotel, or other costs if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual.

 Registration Transfers

Registrations may be transferred to a colleague prior to the event start date. Transfer requests must be submitted in writing to director@stjoebar.org no later than 5 business days before the event.

Virtual Events

 Cancellations by the Registrant

You may cancel your registration up to 24 hours before the virtual event begins and request a full refund by emailing director@stjoebar.org. We are unable to provide refunds within 24 hours of the event start time.

The association does not accept registration cancellations for virtual programs where recordings of the program or event will be available after the live broadcast. In those cases, all registered attendees will receive access to the recording and event materials regardless of attendance.

 On-Demand and Recorded Content

For on-demand courses and certificate programs, you may request a refund up to 7 days from the purchase date. The registration fee will only be refunded if less than 10% of the course has been completed.

 Registration Transfers

Virtual event registrations are for individual registrants only and may not be shared. If a registrant is unable to attend, a refund (per the above schedule) may be issued so that a colleague may register separately.

Events Cancelled or Rescheduled by the SJCBA

The SJCBA may cancel or reschedule any event for any reason and will provide registrants as much notice as is reasonably possible. SJCBA will refund 100% of registration fees paid for any event cancelled by the association. If SJCBA reschedules an event to a date when the registrant is unable to attend, it will refund 100% of the registrant's registration fee, provided that the registrant requests the refund within 30 days of the new date being communicated.

 In-Person Events Converted to Virtual

If a public health emergency or other circumstance warrants converting an in-person event to a virtual format, registrants will be refunded a prorated share of any costs SJCBA is able to recover in connection with the change in venue.

Force Majeure

The SJCBA reserves the right to postpone, suspend, cancel, or reschedule any event — whether in-person or virtual — in the event of force majeure, and will provide registrants either an account credit or a transfer of registration to a future event of similar type. SJCBA is not liable for travel, lodging, or other incidental expenses incurred by registrants.

Refund Processing

Refunds will be processed within 7–14 business days of the approved cancellation request. This timeframe will be communicated to registrants to manage expectations. Refunds will be issued to the original form of payment.

Sponsorships and Exhibitors

Fees paid for event sponsorships, exhibit tables, or advertising are non-refundable once confirmed. In some cases, advertising commitments may be transferred to comparable future opportunities if sufficient notice is provided and space is available.

Membership Dues

Membership dues are non-refundable. Memberships may be transferable in certain circumstances (e.g., an individual leaving their organization). Please contact director@stjoebar.org for more information.

Contact

All cancellation and refund requests must be submitted in writing to: director@stjoebar.org. Once a cancellation is processed, a confirmation email will be sent. Please retain this for your records.
